How to track partial rent payments in a spreadsheet

A tenant pays half on the 1st and the rest on the 15th. Or pays most of it and promises the remainder. If your spreadsheet has one "paid" cell per month, partial payments get overwritten and the history disappears. This page shows a simple way to record them in a sheet you build yourself, so you can always see what's still open. Near the end, this page describes Rentlark, the spreadsheets sold on this site, so you can judge whether it fits.

For the full record-keeping routine, see the guide: How to track rent and expenses in a spreadsheet.

One row per payment

Don't type a running total into one cell. Give every payment its own row: date received, unit, tenant, amount, method (check number or transfer reference), and a note. Two partial payments are two rows. Nothing is overwritten, so you can always show how a balance came about.

Add a "For month" column

In a sheet you build yourself, tag each payment with the month it covers, in one fixed format (for example 2026-10). A payment received on the 29th for next month's rent then lands in next month, and two partial payments for October both carry 2026-10.

Check due against received, per unit and month

On a small summary tab, one row per unit per month:

Unit Month Rent due Received Open
OAK-1 2026-10 (from the lease) SUMIFS formula Rent due minus received

The Received formula, where Payments column B is the unit, D the amount and F the For month:

=SUMIFS(Payments!D:D, Payments!B:B, A2, Payments!F:F, B2)

SUMIFS works in Google Sheets and in Microsoft Excel 2016 or later. If Open is above zero, some or all of the month is unpaid; if it's below zero, there's a credit.

Simple status labels

A short formula can label each row, for example:

=IF(D2>=C2, "Paid", IF(D2>0, "Partial", "Unpaid"))

These are labels for your own sheet, not legal categories.

Before you accept a partial payment

Rules on accepting partial rent vary by state. Check your state's and city's rules before you accept one. This page doesn't cover them.

Keep a note of what was agreed

If the tenant promises the remainder by a date, put it in the note column of the payment row. Your monthly check then shows both the open amount and what was said about it. The free one-page checklist covers the full monthly routine: Download the Small landlord monthly record-keeping checklist (PDF).

FAQ

How should I record a tenant who pays in two parts? Enter each payment as its own row and tag both with the month they cover. Your monthly check then shows whether the month is fully paid. (In Rentlark, both parts are applied to the oldest unpaid month first.)

What if a tenant pays more than the rent? Record the full amount as received. The open amount for that month goes below zero, which shows a credit.

Can I see partial payments without a separate summary tab? Yes, with a filter on unit and month in the payment log, but a small summary tab is quicker to read each month.

Does Rentlark take rent payments from tenants? No. Rentlark tracks the rent you record. Payments don't run through it.

Which spreadsheet apps is Rentlark designed for? For Google Sheets and Microsoft Excel 2016 or later.
